How availability is determined
Availability indicates whether a room or workspace is currently available for use. This status is shown on Kiosks, Room Booking Panels, and in apps. Availability reflects the current situation and is based on a combination of settings and sensor data.
Bookable spaces
For bookable spaces, availability is primarily determined by reservations. If a room is currently reserved, it is marked as unavailable, regardless of whether someone is physically present.
However, there is an additional option: you can choose to also take sensor data into account. In that case, if someone is occupying the room—even without a reservation—the room will still be shown as unavailable (typically marked as occupied or red on the Kiosk display).
This is a configurable choice:
If you only want reservations to affect availability, occupancy without a booking will not make the room appear occupied.
If you combine reservations with sensor data, both need to be considered when determining availability.
Non-Bookable Spaces
For non-bookable spaces, availability is entirely based on sensor data. If a sensor detects occupancy, the space is considered unavailable.
If a non-bookable room does not have any sensors installed, availability cannot be determined—it will remain undefined.
