Onboarding turnover rent contracts into Planon
Planon supports onboarding existing turnover rent contracts that started outside Planon and were already partially processed in another system. This allows turnover rent calculations to continue in Planon without restarting the contract.
Ideally, the transition to Planon takes place at the start of a settlement period or accumulation period. If this is not possible, Planon supports onboarding from a specified Planon start date, including situations where the transition takes place during an active settlement period or accumulation period.
Before you start
Before onboarding the contract into Planon, the contract must be fully closed in the previous system:
• Financially
• For accounting purposes
• For turnover rent settlements
Planon does not recalculate periods that were processed in the previous system. Instead, it uses offset values to continue calculations from the Planon start date. Offset values act as an opening balance for Planon and represent amounts that were already processed before the Planon start date.
Defining the Planon start date
The Planon start date acts as the handover date between the previous system and Planon. All periods before the Planon start date belong to the previous system; all periods from the Planon start date onward belong to Planon. On the contract, enter the Planon start date that marks this transition.
Transactions and settlements before the Planon start date remain part of the previous system. Transactions and settlements from the Planon start date onward are handled in Planon.
Entering offset values
Offset values represent amounts that were already settled, accumulated, or otherwise processed in the previous system before the Planon start date. Planon uses these values as the starting point for turnover rent calculations from the Planon start date onward.
The turnover profile contains a read-only Planon start date field that is automatically copied from the contract when turnover rent processing starts later in Planon than the start of the turnover profile. If this field contains a value, review whether offset values are required. If the field is empty, onboarding from a later Planon start date is not applicable.
Financial commitments that were already closed in the previous system before turnover rent processing started in Planon may need to be entered as offset values. Depending on the turnover profile configuration, offset values can be used to represent previously processed fixed rent, minimum guaranteed rent, prepaid rent, settled turnover rent, or accumulated turnover amounts.
If the turnover profile uses accumulation periods, additional offset values may be required to represent amounts that were processed before the Planon start date but still affect calculations in the active accumulation period.
Offset values are only required when a Planon start date is specified.

Settlement periods and accumulation periods
Turnover rent calculations can be based on settlement periods and accumulation periods.
A mid-settlement onboarding occurs when the Planon start date falls within a settlement period that has already partially been processed in the previous system. For example, if turnover rent is settled monthly and Planon starts on June 15. In this situation, offset values are required to represent amounts that were already processed before the Planon start date.
A mid-accumulation onboarding occurs when the Planon start date falls within an accumulation period that has already started in the previous system. For example, if turnover rent is calculated using a yearly accumulation period and Planon starts on June 1, turnover amounts and settlements from January through May have already contributed to the accumulated results.
When the Planon start date falls within an active accumulation period, any full settlement periods between the start of the accumulation period and the first settlement period processed in Planon must be reflected in the accumulated offset values. This ensures that turnover rent calculations continue with the same accumulated values that existed in the previous system.
When onboarding a contract during an active settlement period or accumulation period, Planon uses the offset values as an opening balance. Together with the turnover data registered in Planon, these values enable turnover rent calculations to continue correctly from the Planon start date.
Entering turnover data
When onboarding a contract, Planon requires turnover data for the first settlement period in Planon. The first settlement period in Planon is the first settlement period with an end date on or after the Planon start date.
Register the complete turnover for this settlement period, including turnover that occurred before the Planon start date. Planon uses the registered turnover together with the offset values to calculate and settle turnover rent correctly for the entire settlement period.
Continuing turnover rent calculations in Planon
After the turnover profile has been configured and all required offset values have been entered, turnover rent calculations can be performed. During these calculations, Planon takes previously settled amounts, accumulated turnover, and other offset values into account, enabling turnover rent processing to continue from the Planon start date.
Adjusting offset values
If corrections are required after the transition, offset values can be adjusted while the first settlement period in Planon remains open. As long as the first settlement has not been closed, a trial closure can be removed and the offset values can be reviewed and adjusted if required.
Once the first settlement period has been closed, the offset values can no longer be modified. After turnover rent processing has started in Planon, no further changes should be made in the previous system.
Example
A turnover rent contract is active from January 1, but Planon starts processing it on June 1. Turnover rent settlements up to May 31 have already been completed in the previous system. When onboarding the contract, enter the required offset values for previously settled amounts and accumulated turnover up to May 31. Planon then continues turnover rent calculations and settlement processing from June 1 onward.
