Changing the indexation method on contract lines
You can index contract prices using an
indexation method defined on the contract. This method determines
how and
when prices are adjusted. After the indexation method and the first indexation date are set, indexation is handled automatically by Planon.
In some situations, you may need to replace the indexation method. For example, when an index group is no longer used or is replaced by a new one. You then need to update the indexation method for all contract lines that are indexed based on this group.
Changing the indexation method for an individual contract line
Changing an indexation method for an individual contract line can be done via the Add modification action on the contract line.
1. Go to the required contract line.
2. On the action panel, click Add modification.
3. Enter the modification date.
4. Select the new indexation method.
5. Click Save.
The modification date is used as the start date of the new indexation method. The first indexation based on the new method is applied on this date. In most cases, the next indexation date is automatically set to this same date.
Changing indexation methods in bulk
You can also change the indexation method for multiple contract lines at once. Changing an indexation method as a bulk action can be done in two ways:
• Using Modify within selection
Use this option if multiple contract lines must be updated on the same date. The reference date is used as the change date. The new indexation method is applied on this date. The contract lines can be grouped based on the specific indexation dates and can be changed in bulk.
• Using data export/import with Planon Enterprise Talk
Export the contract line data. Based on this data, the next indexation date can be copied into the Change date column, and the old indexation method can be replaced with the new method. You can import the changes using data import. This approach is most suitable when the next indexation date differs per contract line. For example, when a contract line is indexed exactly one year after its start date.
Behavior when changing the indexation method
It is important to understand how Planon behaves when you change the indexation method. The behavior depends on the status of the contract line.
Two situations can be distinguished:
• Contract line in preparation or not yet indexed
You can define the indexation method and the first indexation date. You can still change the next indexation date until the first indexation is executed.
• Contract line already indexed
The next indexation date is calculated automatically: last indexation date + indexation period .
When you change the indexation method:
◦ If the new method starts on or before the next indexation date
-> the next indexation date is updated
◦ If the new method starts after the next indexation date
-> the current schedule continues
-> the new method takes effect later
◦ If the new method starts in the past
-> previous indexations may be recalculated
In both situations, it is recommended to:
• verify the next indexation date after making the change
• check whether this date matches your expectations
If the result is not correct, remove the newly added indexation method and apply the change again.
