Secure Document Migration to Object Store
When you enable the Object Store feature and configure a connection to a supported Cloud storage provider (such as AWS S3 or Azure Blob Storage), Planon automatically starts moving existing secure documents from local storage to the Object Store.
How the migration works
 | New customers will automatically start using the Object store Cloud solution for storing secure documents. The following process applies to existing customers who are using a file system for storing secure documents. |
1. Preparation
Before the migration starts, the Object Store connection must be configured and available. During startup, Planon verifies that it can connect to the configured storage location.
| | If the connection is unavailable, documents continue to be stored in the existing location until the connection issue is resolved. |
2. Registration of existing documents
As part of the upgrade process, existing secure documents are prepared for migration. During this step, Planon registers all secure documents so they can be tracked and managed through the Object Store. At this stage, documents remain in their original storage location.
3. Automatic migration
After the Object Store is enabled, Planon starts an automated background process (Scheduled task) that gradually moves documents to Cloud storage. For each document, Planon:
1. Identifies documents that still reside in the original storage location.
2. Copies the document to the configured Object Store.
3. Updates the document registration to reference the new storage location.
4. Removes the original file after the transfer has been completed successfully.
This process runs in manageable batches to minimize the impact on system performance.
4. Monitoring progress
The migration process runs automatically according to a predefined schedule until all documents have been transferred. Administrators can monitor migration progress using the available application logs and monitoring tools.
5. User impact
Users can continue working with documents while the migration is in progress. No manual action is required, and document access remains available throughout the migration.
Result
Once the migration is complete, all secure documents are stored in the configured Object Store, allowing you to benefit from cloud-based storage while maintaining uninterrupted access to your documents.
