Filter on secure document fields
It is possible for users to filter records based on whether or not a secure document is attached.
It introduces the ability to search for entries that contain or do not contain a secure document, using a simple filter setup. It does not support filtering based on the document name or file extension.
Why use this feature?
Users can now quickly distinguish between communication logs (or other record types) that include attachments and those that do not. This helps streamline workflows where file presence is relevant, such as compliance checks, document tracking, or filtering for incomplete entries.
How to configure it
To enable filtering on secure document fields, the application manager needs to configure the feature.
Procedure
1. In Field definer , on the Business objects level, select the Document (secure) field.
2. Go to Details level and set the following fields to Yes:
◦ In selection
◦ Simple selection
3. (Optional) Update your layout configuration to ensure the field is available in Advanced Search and Quick Search:
◦ In TSIs , select Orders and go to Order details level.
◦ Select the Communication logs - order step, click … behind BO Communication logs and click Jump to Layouts.
You will navigate to Layouts.
◦ Set the CommunicationLog layout under construction and select the Document (secure) field.
◦ Ensure that the In selection field is Yes.
This setting ensures that the Document (secure) field will be available to the Advanced filter.
Filtering on secure documents
After the feature has been configured, it becomes available for use in the application.
Procedure
1. Go to Orders and select the orders you are interested in.
2. Go to Order details and select the Communication logs step.
3. In the Field filter, select Document (secure) and in the Operator field, select:
◦ Contains a value to find records with a secure document.
◦ Does not contain a value to find records without a secure document.
4. Click
Find (

).
This will result in listing the appropriate records that meet the filtering criteria.
When you clear the filter, the operator resets to Contains a value.
